American Humane’s regional office in Los Angeles is the authority behind the “No Animals Were Harmed”® End Credit Disclaimer on TV and film productions, and American Humane’s office in Washington is an advocate for child and animal protection at the federal and state levels. American Humane is looking for a dedicated, self-motivated Office Manager for the Public Policy department at American Humane’s satellite office in Alexandria, Virginia.
Responsibilities include:
- Prepares transactions for the accurate and timely processing of payroll, including the calculation of employees’ overtime payments.
- Inputs payroll information into payroll software and submits to Denver office to produce payroll.
- Reviews transactions for completeness, accuracy and proper authorization.
- Proposes changes and improvement to work procedures.
- Complete special projects and reports as assigned.
- Contacts other departments in Denver for clarification or problem resolution.
- Determine which invoices need to be paid and forward to Denver for payment. Follow-up with accounting department in Denver as needed.
- Responsible for managing petty cash for the office.
- Count and reconcile the petty cash fund on a monthly basis and forward a copy to the Denver office.
- Serves as liaison to the human resources department in Denver.
- Responsible for processing personnel and human resources paperwork and procedures.
- Coordinates communications between the Human Resources Department in Denver and the PP office staff.
- Monitors staff PTO (personal time off) accruals and use status, keeps appropriate records.
- Oversees the operation and orderly maintenance of the office, including the cleaning service, security, repairs and maintenance.
- Maintains inventories of office supplies, marketing and PR materials, and any other supplies and materials.
- Assists with set up of new office furniture or business equipment.
- Oversees the computer system administration.
- Maintains records regarding computer system hardware and software.
- Assures that regular system backups are performed periodically and accurately.
- Assures that anti-virus updates are performed frequently.
- Coordinates consulting services and repair services as needed.
- Coordinates training for staff and/or other support as needed.
- Assists with general office and clerical duties as requested by the Director and staff, including photocopying, faxing, data entry, typing, and mail merge for letters.
- Coordinate on and off-site meetings and events as requested (including events with LA office).
- Staff American Humane’s registration table at conferences and meetings as requested.
- Collects, compiles and organizes data and background information as required.
- Actively participates in various meetings and may take minutes.
- Produces confirmation letters, nametags and certificates for workshops and conference registrants.
Requirements:
Candidate must be highly organized, possess the ability to multi-task, and should be able to maintain detailed records and reports. The successful candidate will possess two or more years of progressively responsible office management experience. Candidates should have two to three years experience with payroll and accounts payable. Candidates must have strong written and verbal communication skills. Candidates with experience in a non-profit setting and/or accounting would be a definite plus! This position is part time with 20 hours per week with a rate of $18.00-$21.00 per hour. We provide a casual, friendly atmosphere. Local candidates strongly preferred; no relocation assistance is available for this position.
