The Controller is responsible for the operation of AHA's accounting and financial reporting program. The work involves performing technical accounting in processing financial transactions, maintaining the general ledger and preparing financial statements and management reports.

The position participates in AHA’s budget preparation and administration; assists the Chief Financial Officer as assigned; and supervises the work of accounting and support staff. The Controller is also responsible for creating all work papers, analysis and reconciliations relating to the annual audit and in support of the completion of the annual IRS Form 990.

Role Expectations:

  • Serves as a resource and consultant to all staff on budgeting and accounting matters.
  • Supervises, trains and mentors all accounting staff.
  • Ensures the general ledger is maintained in accordance with generally accepted accounting principles as they apply to not-for-profit accounting.
  • Ensures an environment of good internal controls and appropriate segregation of duties.
  • Prepares timely and accurate financial statements and management reports.
  • Prepares for and coordinates the annual audit, including auditor’s onsite activities, ensuring timely and efficient completion.

Essential Duties & Responsibilities:

  • All controllership functions, including: bank reconciliations, maintenance of the general ledger, journal entries, payroll consultation, accounts payable and accounts receivable.
  • Prepares monthly financial statements for management and the Board of Directors.
  • Participates in the annual budget process to ensure that a proposed budget is presented to the Budget & Finance Committee before the appropriate Board meeting. 
  • Prepares monthly statements showing budget and actual revenues and expenses for all departments.  Interacts with department heads to ensure accuracy and completeness of monthly departmental financial statements.
  • Supervises the work of the accountants, accounting support staff and payroll accountant.
  • Prepares performance reviews and updates job descriptions in a timely manner.
  • Assists in preparation of all required not-for-profit informational returns such as IRS Form 990, and ERISA Form 5500's.
  • Manage all tax compliance with various jurisdictions, including federal and state income, sales and registration filings; assures all regulatory and audit requirements are met.
  • Prepares indirect cost rate proposals for government grants. 
  • Assists in close-out of government, corporate and Foundation grants.
  • Provides accounting and technical support to staff as needed. 
  • Trains staff on the budget process and monthly financial review techniques as needed.
  • Monitors cash flow to ensure that cash is available to meet current obligations and works with the CFO to ensure that excess cash is invested on a timely basis.
  • Maintains working relationships with all staff and volunteer leadership, and with suppliers, bankers, auditors and government regulators and peers in similar organizations, for the purpose of conducting the financial operations of the Association.
  • Create and maintain an accounting policies manual.
  • Works with the CFO to evaluate and recommend accounting systems, process improvements and strategic solutions for financial reporting and analysis; reduce manual processes and dependency on paper.
  • Performs related work as required.

Essential experience, knowledge, skills and abilities:

  • A minimum of a BS in a related field; CPA and/or MDA required.
  • Eight years of progressively responsible accounting experience preferably in a nonprofit organization with a budget of at least $10 million.
  • Significant experience in or knowledge of nonprofit accounting rules, including sophisticated fund and grants accounting, compliance and reporting preferred.
  • Prior experience in overseeing a multi-State payroll process.
  • Prior management and supervisory experience.
  • Expertise and experience in establishing an Accounting Department and utilizing virtual accounting functions and technology for basic processes in a distributed environment.
  • An in-depth working knowledge of Microsoft Dynamics SL (Solomon).

Direct reports:

All accounting staff, including Accounts Receivable Accountant, Accounts Payable Supervisor, Junior Accountant, Payroll Accountant and others, including temporary and transitional staff as needed.

Physical demands and work environment:

Periodic travel may be required.
